A consistent filename and stock-reference system helps your team connect each photo with the right vehicle. Keep that identity through upload, review, download and publishing.

Choose one primary stock identifier

Use an identifier that your organisation already treats as stable, such as an internal stock number. Model names alone are not enough when several similar vehicles arrive together. Avoid putting customer personal information into filenames. Record the stock reference in the photo project and use the same value in the folder or handover note that accompanies the exported set.

Make the sequence readable

Add a simple sequence number and a view label after the stock reference. A pattern such as STOCK123-01-front-three-quarter is understandable to someone who did not take the photograph. Use leading zeros so alphabetical sorting follows the intended order. Keep the vocabulary short and consistent; switching between cabin, interior and cockpit labels adds complexity without improving the handover.

Keep originals separate from presentations

Retain the original photograph alongside generated results rather than replacing it with the newest download. Different presentations may be useful for a website card, a gallery or a campaign, but they should all remain traceable to one source. Mark the export version or format clearly, especially when more than one showroom style has been tested for the same vehicle.

Check identity at every boundary

The most important check happens when data moves between systems. Compare the stock reference in the project, downloaded archive and destination listing. Ask the publishing owner to open a few distinctive views, not just check the folder title. A rear badge or cabin configuration may expose an incorrect association that would be easy to miss in several similar exterior thumbnails.

PUT IT INTO PRACTICE

Your dealer checklist.

  • Use a stable internal stock reference.
  • Add sequence numbers with leading zeros.
  • Use a small shared vocabulary for views.
  • Keep original and exported versions distinguishable.
  • Confirm identity again in the live listing.

Common questions.

Should filenames use a registration number?

Use whichever non-sensitive identifier your team can manage consistently. Internal stock references work across countries without depending on a particular registration format.

Will filenames alone prevent mistakes?

No. Pair naming with project ownership and a publishing check. Clear filenames make the check easier; they do not replace it.
