A vehicle-photo handover should survive changes in tools and publishing destinations. Preserve identity, review status and the intended image order when files leave the studio.

Carry the stock reference across the boundary

Use an internal identifier that both the studio team and destination-system owner recognise. Include it in the project and publishing note, not only in a folder someone may rename. Check the target listing before import. A similar model name or colour is not a sufficient match when several vehicles are moving through the same daily workflow.

Export only the reviewed selection

Package approved results and explain any omissions that affect the gallery. Keep original sources and rejected attempts in their appropriate private history rather than mixing them with delivery files. Name alternate formats clearly so a social campaign image does not become the full-gallery lead by accident. Keep the intended order documented even when filenames include sequence numbers.

Treat import behaviour as something to test

Each destination may handle sorting, renaming, compression and aspect ratio differently. Use a representative set to understand that behaviour before moving a large collection. Check the actual account and current upload guidance. Avoid promising a direct system integration when the workflow is a manual approved-file export; those are different operational arrangements.

Verify and retain a rollback source

After import, inspect the customer-facing page for identity, order, crop and detail. Keep the reviewed archive until the destination has been checked and any transition issues are resolved. If something is wrong, return to the known approved set rather than editing a compressed copy downloaded from the live website. Record the issue so the next handover is less fragile.

PUT IT INTO PRACTICE

Your dealer checklist.

  • Use a shared stock-reference convention.
  • Package only approved delivery files.
  • Label alternate formats and intended order.
  • Test the destination’s import behaviour.
  • Retain a reviewed source for corrections.

Common questions.

Does exporting a ZIP automatically integrate with my stock system?

No. A ZIP is a file handover. Direct API or feed integration is a separate feature that must be implemented and tested for the destination.

Should we use live-site downloads as our master files?

Keep the original and approved studio exports instead. A live website may have cropped or compressed the photographs.
